Policy Statement
The City Commission recognizes the benefit of granting permission to individuals and recognized groups/organizations for the use of city facilities, and may grant such approval upon the submission of a written application. The City Commission believes that such use of any city facilities shall not interfere with the daily routine of any city activity or operation. Facility use will be governed by Commission policy and administered by the City Clerk's office. The Commission further recognizes that a fee is appropriate in most circumstances, particularly so as to recover the City's cost to provide and/or maintain the various facilities.
The following regulations relate to the use of City facilities. All requests must be requested to the City Clerk's office with respect to City Hall and park facilities and approved by the City Manager. The City Manager has the sole discretion to approve/disapprove the use based on the best interests of the City of Hudsonville.

Responsibility for the use of the facilities in observance of regulations shall rest upon the adult applicant (18 years of age or older) who signs the application of reservation. If the applicant represents an organization, the applicant is responsible in an official capacity. If the applicant represents a group of individuals, the applicant is personally responsible.
Facilities Available for Reserved Use:
All other City facilities (other parks, etc.) are not available by reservation.

A reservation may be canceled up to fourteen (14) days prior to reservation, with return of the rental fee and deposit less a $10.00 administration charge.
Guidelines and Regulations:
A. City Hall Community Room
The room has a large table fronting the audience, with tables and chairs for 80 persons. Tables and chairs may be relocated, but must be returned to original position after use. A microphone system is available for a small extra charge. A luncheonette bar with counter and sink, and microwave, may be used. Coffee service (including coffee and condiments) is available for a small extra charge. Renter is responsible for general cleanup of the room and relocation of chairs and tables to original position before the deposit will be issued.
The applicant only will be provided, upon reservation of the room, a security number for the digital keypad at the front entrance door. This number will open that door after 5 P.M. of the rental day, if the rental is for non-business hours. It will be necessary for the applicant to station a person at the door to let other individuals in.
Special Note: the applicant will be responsible if any unauthorized person is permitted entry to the building during the rental period.
B. Hughes Park Shelter Building and Sections A, B or C:

The building/sections may be rented from May 1 to October 15, except for Sundays and Monday holidays.
The building has picnic table seating for approximately 150 persons, as well as a fireplace, refrigerator, counter and sink. There are numerous electrical outlets available (none outside the building). Equipment for the basketball and volleyball courts, and the horseshoe pits, are in the locked box in the Shelter Building. Not included in the rental are other park amenities, including basketball and tennis courts, playground equipment, and grills.
Various softball diamonds at the park are used by Hudsonville Community Education and Hudsonville Little League for organized softball programs. The City does not schedule the ball diamonds; however, if use of a ball diamond is desired, you may call to confirm whether or not the fields are already scheduled to be used on your requested date. If not, the diamonds are available on a "FIRST COME, FIRST SERVED" City policy basis.
Tables scattered throughout the park may be used, but must be returned to their original location. Renter is responsible for basic cleanup before leaving. This includes placing all trash in barrels provided and general cleanup of the floor and counter. The Park closes at ll:00 PM.
A key to the Shelter Building must be picked up on the day of rental only, unless reservation is for Saturday. The key must be picked up on Friday. The key must be returned to City Hall the next business day and the building returned to its original position before the deposit will be issued.
If there are problems with the building, i.e. lock on the shelter house not working, a bathroom toilet clogged, electrical problems, please call the Ottawa County Central Dispatch Non-Emergency Services number 1-800-249-0911.

Exceptions: Local non-profit organizations or groups which routinely and regularly provide financial or other support to the City of Hudsonville may be exempted from room rental fees, as approved by the City Manager.
